HATS
Query and response management between pharmaceutical companies and health agencies, with automated notifications and audit trails.
Overview
Health Agency Tracking System (HATS), developed by Atlant Systems, is a document and query management platform designed for pharmaceutical companies to manage communications between their drug project teams and Health Agencies. It supports the full lifecycle of queries and their corresponding responses, from initial submission through resolution and formal written reply.
HATS is built for collaborative use across distributed teams, allowing users to participate in query responses via dial-up, intranet, or extranet connections. Data entered remotely — including edits and responses — is replicated to a centralized HATS database, supporting accuracy and productivity for both on-site and remote team members. Requests for actions and process notifications are delivered to recipients via electronic mail.
Core Features
- Centralized management of Health Agency queries and responses
- Automatic notification and escalation to enforce action items via electronic mail routing
- Management of responses through appropriate states of development and approval
- Automated document control
- Consolidation of review and approval history and of actions associated with each query and response
- Locking of controlled records upon completion
Audit Trail and Document History
- Administrators and authorized users can view a full audit trail — a chronological history of all activities associated with a document
- The audit history records the original author, the date and time of document creation, and the sequence of subsequent editors along with their editing dates and times
- All document versions are noted within the audit trail, providing a complete history of the document's lifecycle
- Formal, written responses are appended to resolved inquiries for reference
Collaboration and Access
- Drug project members are automatically notified of new inquiries and monitored for responses
- Remote users can access and contribute to the system via dial-up, intranet, or extranet
- Team members can enter data on-site or after hours using a laptop
- All remote edits and responses are replicated back to the centralized database
HATS is designed with role-based security controls, ensuring that document access, editing rights, and audit trail visibility are restricted to users with appropriate permissions.
