Overview

Xavo develops an AI-assisted lab operations platform designed for sample management teams in biotech, pharma, and contract research organisations (CROs). Its flagship product, Xavo R3, is delivered as a Software as a Service (SaaS) and addresses workflow gaps that traditional Laboratory Information Management Systems (LIMS) cannot handle — including acoustic dispensing, high-throughput screening (HTS) plate generation, and multi-step workflow coordination. Xavo can be deployed as a standalone plug-in alongside existing LIMS and ELN tools, or used as a full end-to-end lab operations platform, depending on the team's needs.

The platform serves biotech R&D teams, pharma screening groups, CROs and service labs, and automation teams managing liquid handlers, plate readers, and robotic systems. Xavo positions itself as a complement to — rather than a replacement for — existing informatics infrastructure, connecting to those systems via its integration layer while handling the computational and orchestration work that LIMS tools typically leave to manual processes.

Product Tiers

  • Xavo Core: An entry-level tier that is instantly available and supports inventory management for any data type (including cell lines), storage occupation tracking, and a cost-efficient, scalable foundation for future growth.
  • Xavo Professional: Includes everything in Core, plus detailed capability configuration for data consistency and integrity, order tracking and execution, daily lab tasks such as barcode scanning and label printing from within the application, and comprehensive history and transfer traceability.
  • Xavo Enterprise: Includes everything in Professional, plus modelled lab processes based on a detailed digital twin of the lab, support for specific business processes using off-the-shelf workflow steps, full lab automation orchestration (liquid handlers, storage systems, robot platforms, and autonomous robots), and dynamic calculation of automation instructions for any deliverable.

Key Modules and Capabilities

  • Sample Management: Tracks every tube, plate, and aliquot with chain of custody, real-time location data, and a full audit trail.
  • Workflow Orchestration: Executes multi-step protocols with dynamic branching, configured uniquely for each run.
  • Instrument Coordination: Schedules liquid handlers, plate readers, and robots, with automatic sequencing across shared resources.
  • Path Finder Engine: Computes optimal routes for volumes, plate maps, and constraints, and adapts in real time as conditions change. Also calculates runtimes for dynamic scheduling, proposes and allocates runs across equipment, and generates dynamically calculated worklist instructions for every deliverable.
  • Data and Traceability: Logs every action and makes every result traceable, providing an audit-proof record from initial deployment.
  • Lab Spider (Integration Layer): A bidirectional integration module that transforms instructions from a LIMS or ELN into inputs for any connected equipment, and pushes results from any equipment or system back to the desired LIMS or ELN. Includes connectivity monitoring. REST APIs and webhooks are included.

Deployment and Operational Model

  • Deployed as SaaS; teams can go live within days to weeks rather than months.
  • Offered in two modes: as a plug-in to an existing tool stack (no rip-and-replace required) or as a full platform replacing multiple point tools.
  • Pricing is structured to match team size and workflow complexity, with the ability to scale as the organisation grows.
  • Teams report 40–60% reduction in operational overhead costs after retiring manual coordination and point tools.

Reported Performance Metrics

  • 95% less manual workflow setup compared to template-driven processes.
  • 10× faster plate preparation, described as unlocking maximum equipment potential.
  • 90% fewer transcription errors through automated data flow with no manual user input.
  • 3× more throughput per full-time equivalent (FTE), enabling the same team to complete more work.

Target Users

  • Biotech R&D: Streamlining sample-to-result workflows to accelerate discovery.
  • Pharma Screening: Generating assay-ready plates and coordinating high-throughput screening campaigns at scale.
  • CROs and Service Labs: Managing multiple clients and protocols without increasing headcount.
  • Automation Teams: Coordinating liquid handlers, readers, and robots within a single unified execution queue.
